Mastering Leantime’s Task Management Feature

While projects shouldn’t start and end with to-do lists, proper task management is crucial for teams to stay organized and productive. In this article, we’ll explore how to make the most of Leantime’s intuitive task management feature to do just that.

The To-Dos View



To begin using the task management feature in Leantime, navigate to the To-Dos page and click the "+New" button at the top left corner. Choose "Add To Do" to create your first task. Here, you can customize various details, including the task name, description, status, type, organization people, dates, and time-tracking information.



Leantime allows you to create subtasks that are dependent on the completion of other tasks. Setting a task as a subtask and establishing a relationship with another task will display it on the Kanban board with a subtask identifier, ensuring seamless project progression.



In Leantime, tasks are organized by their status. The default status options are “new”, “blocked”, “in progress”, and “done”. If you are a project owner, admin, or manager you can change the status labels in project settings or by clicking the three dots on the column label. To quickly create a task in a specific status column, click the “Add To-Do” button at the top of that column.



Customizing Your Task Management View



Now that you have your task created, tailor your task view further by clicking the filter icon and choosing to filter by user, milestone, type, priority, or enter a search term to locate specific tasks quickly. Additionally, you can choose from Kanban, Table, or List views to adapt the task display to your preference.

Editing Existing To-Dos



In the case you have an existing task, click the task tile and select "Edit To-Do" to modify any of the previously set details. Additionally, you will also see a space to make comments or mention other contributors.

You can change task attributes like priority, milestone assignment, and effort using drop-down menus on the task tile.



Milestone progress is tracked based on the completion of the to-dos assigned to them. You can learn how to attach a milestone to a to-do here.

Adjusting Your Status



Changing the status of a task is straightforward in Leantime. You can either click and drag the task tile to a different status column or edit the task normally. Additionally, Leantime offers the option to move a task to a different project entirely. By clicking the three dots in the top right corner of the task tile and selecting "Move To-Do," you can relocate the task to the desired project.

The Importance of Tasks:



Tasks play a crucial role in effective project management. Within Leantime, the Project Dashboard and Home page provide an overview of your latest tasks to ensure you stay updated on your workload. Tasks can also be linked to milestones, aligning them with long-term project goals. Furthermore, task completion progress is tracked and displayed on the reports page, offering valuable insights into your project's advancement.
